Directors PA & Office Manager

Location: London, Camden

 

Responsibilities include; 

  • Support two Senior Directors:
    • Diary management
    • Screening and managing all correspondence
    • Extensive travel arrangements – including international flights, transfers, hotels, etc.
    • Liaising with global clients
    • Managing expenses
    • Organising internal and external meetings
    • Background research
    • Document preparation for meetings
    • Meeting minutes
    • General administrative responsibilities
    • Acting as an ambassador for the Directors within the Group
    • Additional projects
  • Office Management
    • Oversee responsibility for Reception
    • Oversee responsibility for Facilities
    • Oversee responsibility for Office management
    • Lead member of the Social Committee
    • Oversee responsibility for H&S including fire extinguisher contract
    • Manage office cleaning contract
    • Manage office supplies contracts, including water dispenser and kitchen supplies  
  • Other responsibilities as required

 

Experience/skills:

  • You must have proven PA experience at a senior level
  • Excellent written and oral communication skills
  • Excellent organisational skills
  • Keen interest in the pharmaceutical industry and science communication is advantageous but not essential
  • Flexible and calm under pressure
  • Good problem solving and decision-making abilities
  • Attention to detail
  • Ability to maintain confidentiality 
  • Excellent IT/Office skills
